1. Clone name/number
Name or number assigned when a clone is entered into the collection.
It serves as a unique identifier and is assigned whenever a clone is entered into the collection.
Letters should be used before the name/number to identify the genebank or the national system:
INBO N001 for the material maintained at the Instituut voor bosbouw en wildbeheer (Geraardsbergen, Belgium); CIFOR-INIA 1-30 for the material maintained at the Centro de Investigación Forestal (Madrid, Spain) etc.
In this way the codes used by the different institutions involved for instance in P. nigra genetic conservation (i.e. N001 for the CRA-PLF - Casale Monferrato, N212 for INBO - Geraardsbergen, etc.) can be shown in letters before the clone name/number to identify the institution maintaining the clone.
It is important to use letters that identify the institution and not just the country, because in some countries there might be more than one institution involved in genetic conservation.
This is the only mandatory field in the database.
2. Country where maintained
Country in which the clone is maintained.
Select options from a list of countries recorded according to ISO 3166-1 alpha-3 code
3. Institution where maintained
Names of institutions in which a clone is maintained.
Abbreviations adopted to identify institutions in the field “Clone name/number” should be used. Select options from a list of abbreviations.
4. Original clone name/number
Code assigned from the institution of origin.
This is very important when the clone was obtained from another institution. It could be useful to identify duplicates held in different collections and should always accompany samples wherever they are sent.
5. Collecting number
Original number assigned by the collector of the sample.
This item could be useful to identify duplicates held in different collections and should always accompany samples wherever they are sent (this number may be different from the "Original clone name/number").
6. Other name/number associated with the clone
Any other identification numbers known for the same clone.
7. Other name/number associated with the clone
Any other identification numbers known for the same clone.
8. Other name/number associated with the clone
Any other identification numbers known for the same clone.
9. Other name/number associated with the clone
Any other identification numbers known for the same clone.
10. Other name/number associated with the clone
Any other identification numbers known for the same clone.
11. Type of maintenance

3. Pollen
4. Nursery stool-bed and adult plantation
5. Nursery stool-bed and pollen
6. Adult plantation and pollen
7. Nursery stool-bed, adult plantation and pollen
8. Others (e.g. in vitro culture)
Select options from a list.
12. Collecting institution
Institution which originally collected the sample.
Either enter free information or select options from a list.
13. Collecting date of original sample
Year in which the sample was originally collected (YYYY).
14. Country of origin
The Country in which the sample was collected.
Select options from a list of countries recorded according to ISO 3166-1 alpha-3 codes.
15. Province/State
Name of the primary administrative subdivision of the country in which the sample was collected.
16. Department/County
Name of the secondary administrative subdivision of the country in which the sample was collected.
17. Location of collecting site
Name of the nearest town or village to where the sample was originally collected.
18. Latitude of collecting site
Degrees and minutes followed by N (North)
(e.g. Casale Monferrato 45°07' North: 04507N)
19. Longitude of collecting site
Degrees and minutes followed by E (East) or W (West).
(e.g. Casale Monferrato 8°30' East: 00830E)
20. Elevation of collecting site
Altitude above sea level (m).
21. River
Name of the river where the clone was collected.
22. Type of sample originally collected

2. Seeds
23. Origin of the clone
1. Natural
2. Controlled crosses
3. Open pollination
24. Sex
1. Female
2. Male
3. Others (e.g. bisexual)
25. Female parent
When the female parent is known (clone obtained from artificial crossing or from seed collected from known genotypes), the "Original clone name/number" of the female parent should be specified. Include the parents in the database even if they are no more maintained in collection (in this case specify “none” in “Type of maintenance").
26. Male parent
When the male parent is known (clone obtained from artificial crossing), the "Original clone name/number" of the male parent should be specified. Include the parents in the database even if they are no more maintained in collection (in this case specify “none” in “Type of maintenance").
27. Core collection
When the clone is hosted into the core collection.
